Prevention Of Harassment In The Workplace

William Russell’s policy on preventing harassment, sexual harassment, bullying, abuse and intimidation in the workplace.

Respect at work

Everyone who works with or interacts with William Russell has the right to be treated with dignity, courtesy and respect.

We expect everyone who interacts with our colleagues, including members, brokers, suppliers, contractors and visitors, to behave professionally and respectfully at all times.

Our commitment

William Russell takes a zero-tolerance approach to harassment and other unacceptable behaviour.

We are committed to providing a safe, inclusive and respectful working environment and to taking appropriate steps to prevent harassment, bullying, discrimination and other inappropriate behaviour. We encourage people to raise concerns and will respond appropriately when concerns are reported.

This policy applies to behaviour that takes place in person or through telephone calls, email, messaging services, social media, online meetings, business events or any other work-related setting or communication channel.

What we consider unacceptable behaviour

Harassment is unwanted behaviour that violates someone’s dignity or creates an intimidating, hostile, degrading, humiliating or offensive environment. It can be a one-off incident or form part of a pattern of behaviour.

Harassment can take many forms, including sexual harassment, and examples of unacceptable behaviour may include:

  • Unwanted sexual comments, jokes or remarks.
  • Unwanted physical contact or sexual advances.
  • Offensive, abusive, threatening or intimidating language.
  • Bullying or deliberately humiliating behaviour.
  • Harassment or discrimination related to a protected characteristic.
  • Unwanted comments or behaviour relating to someone’s personal characteristics, appearance or circumstances.
  • Sharing offensive or inappropriate images or other content.
  • Unwanted behaviour through email, messaging services, social media or other digital channels.
  • Any conduct that undermines an individual’s dignity or creates an intimidating, hostile, degrading, humiliating or offensive environment.

Behaviour does not have to be intended to cause offence to be unacceptable. What matters is the nature and effect of the behaviour and the circumstances in which it occurs.

Behaviour by third parties

Harassment and other unacceptable behaviour can involve people who do not work for William Russell, including members, brokers, suppliers, contractors, visitors and other business contacts.

We expect all third parties to treat our employees with professionalism, courtesy and respect.

Where a third party behaves inappropriately towards a William Russell employee, we will take appropriate steps to protect our people and prevent the behaviour from continuing. Depending on the circumstances, this may include restricting communication, ending an interaction, escalating the concern to the relevant organisation, or reviewing the business relationship.

Respectful conduct is an important part of maintaining a professional relationship with William Russell.

Reporting a concern

We encourage employees to report any concerns about harassment, bullying, discrimination, abuse, intimidation or other inappropriate behaviour.

Employees can raise concerns with their line manager, a member of senior management or through the reporting procedures set out in our internal policies.

Concerns can be raised informally where appropriate or as a formal complaint in line with our grievance or relevant workplace procedures. Some incidents may be too serious to deal with informally.

Concerns raised by employees will be taken seriously and handled sensitively. We will consider the circumstances of each case and take appropriate action where necessary.

Employees are also encouraged to report concerns if they witness inappropriate behaviour, even when it is not directed towards them.

As part of our commitment to a safe and respectful workplace, our employees have access to confidential well-being support services, including an Employee Assistance Programme (EAP), to help them manage challenges.

How we respond

Where a concern is raised, we will seek to understand what has happened and respond fairly and appropriately.

Depending on the circumstances, this may include:

  • Taking immediate steps to protect an employee’s safety and well-being.
  • Carrying out an appropriate and impartial investigation.
  • Taking disciplinary action where appropriate.
  • Ending or restricting meetings, calls or other interactions.
  • Restricting or withdrawing access to our premises.
  • Blocking or restricting communication channels.
  • Escalating concerns to the relevant employer, organisation or representative.
  • Reviewing, suspending or terminating a commercial relationship.
  • Reporting an incident to the appropriate authorities where necessary.

Any action taken will be proportionate to the nature and severity of the behaviour and the circumstances of the case.

Supporting and protecting our people

We recognise that experiencing or witnessing harassment can be distressing. We will take reasonable steps to support employees affected by inappropriate behaviour and to protect their dignity, well-being and safety at work.

We will handle concerns as confidentially as possible, while recognising that information may need to be shared where necessary to investigate a concern or take appropriate action.

Employees who raise a concern, make a complaint, support someone else or act as a witness will not be treated unfairly because they have done so.

We will also ensure that concerns are considered fairly and that anyone involved in an investigation is treated with dignity and respect.

Preventing harassment

Preventing harassment is a shared responsibility.

We regularly review the risks of harassment and other inappropriate behaviour and take appropriate steps to prevent incidents from occurring. This includes providing relevant information and training and reviewing our approach where concerns or incidents are identified.

Our workplace culture

Everyone at William Russell has a role to play in maintaining a workplace where people are treated with dignity and respect.

We expect all William Russell employees to:

  • Treat colleagues and third parties professionally and respectfully.
  • Speak up about inappropriate behaviour where they feel able to do so.
  • Support colleagues who raise concerns.
  • Cooperate appropriately with any investigation.
  • Avoid behaviour that could reasonably cause offence, distress, humiliation or intimidation.

We are committed to maintaining a workplace where everyone can work with dignity, safety and respect, and where concerns about sexual harassment and other unacceptable behaviour are taken seriously and addressed appropriately.
