We are committed to doing our bit to reduce the use of paper, and we are working towards providing our clients with a complete on-line service where they can view their policy documents securely.

Until this on-line service is available, we propose issuing policy documents by email to all individual new business clients.

Going paperless

This will take some time to achieve, but to get started, from Monday 24th August we will be sending individual Global Health and Global Protection insurance documents by email in pdf format instead of sending hard copies by mail or courier. For the time being, automatic renewals (i.e. renewals for clients who pay by credit card or direct debit) will continue to receive their documents in paper format. Only clients who pay by cheque or bank transfer will receive their renewal documents in pdf format.

Paper and plastic for Corporate clients

For the time being Corporate clients will continue to receive paper documents and the members will receive their certificates of insurance and plastic membership cards in an envelope. Members will be directed to the web to view/download their membership agreement and claim forms.

The emailing of documents has many advantages:-

  • It reduces the burden of paperwork for you and your client
  • It will save you lots of time and money forwarding documents
  • It provides your clients with on-line access to policy documents
  • It provides links to download plan agreements at any time
  • It is fast with no postal or courier delays
  • It is environmentally friendly

In view of medical confidentiality, we cannot copy you in on documents that contain any medical information. We will therefore email certificates of insurance direct to the client, and we will forward a copy of our covering email to you (minus the actual certificate of insurance).

For the time-being, groups and the individuals who automatically renew by credit card will still receive documents by post, but we have cut the amount of paperwork we send by directing them to download plan agreements and claim forms etc from our website.

Plastic is not so fantastic any more!

In line with the changes we are making, we will not be issuing plastic membership cards unless you or your client specifically requests one.

Instead, our email to clients will contain all the information they require including a ‘virtual card’ with their policy details and emergency numbers, which they can cut out and keep in their wallets if they wish.

We recognise that this represents a cost-saving for us, and will be supporting our ‘Cause for Concern’ charity by donating £5 for every policy holder that opts not to receive plastic card/s

(NB This is £5 per policy holder and not per insured person).

Fast and eco-friendly PDF downloads

Web Works is an active policy to promote our web site as a one-stop shop to download or view our latest brochures and forms on screen, whenever and wherever you need to.

To help all our users locate what they are looking for, we have restructured our brochure library into Web Works Member, Sales, Office and Help-sheets. Please go and see for yourself how easy it is.

Soft copies or hard copies… what do you prefer?

Whilst we are fully committed to a paperless culture, we appreciate that some of you may still prefer to present clients with hard copy sales brochures.
